Cancellation, Weather, Late Pickup, Behavior - Afterschool Programs

Cancellation & Refund Policy

​

Full Program Cancellation:

  • Cancellations made at least 7 days before the first scheduled class are eligible for a full refund, minus a 4% administrative fee.

  • Cancellations made within 7 days of the start date and up to 30 days after the start of the program are eligible for a 50% refund, minus the prorated cost of any classes already held.

  • No refunds will be issued more than 30 days after the program start date.

  • Cancellation requests must be submitted via text message to 408-612-7420 and must be confirmed by our staff.

Missed Classes:

  • No refunds, credits, or make-up classes will be provided for missed classes by a student, regardless of the reason.

  • We encourage families to review their schedules carefully before registering.

Program Cancellations (Weather or Other Reasons):

  • If a class is canceled by SBA Tennis & Pickleball due to weather or other unforeseen circumstances, we will first attempt to make up the time by adding an additional class to the session or extending the remaining class times. If we are unable to do so, an account credit will be issued. This credit can be applied to future programs, camps, or private lessons.​

Inclement Weather Policy

​

If rain or severe weather is very likely, parents will be notified of a cancellation at least 1 hour before the class start time.

  • If no cancellation notice has been sent out at least 1 hour before class, we will proceed with class and:

    • Use any roofed, covered, or otherwise dry area available on campus.

    • Modify activities to ensure they remain safe, fun, and related to the sport.

    • Run the program with the same energy and engagement, even in challenging weather conditions.​

Why This Policy Matters:

  • Coaches Need Clarity: Our coaches are paid to be at the school whether or not class runs. They need to know in advance if they’re expected to be there.

  • Parents Need Time to Plan: Many families rely on our programs for afterschool care and cannot adjust on short notice. The 1-hour window gives families time to make other arrangements if needed.

  • Administrative Complexity: Rescheduling or refunding classes is time-consuming and costly. We still pay for facility rentals and coaching time, even if a class doesn't run.

In the Event of a Full Cancellation:

If class is canceled and we are unable to make up the time by adding an extra class or extending future class times, an account credit will be issued. This credit can be applied to future programs, camps, or lessons.

Final Reminder: If you do not hear from us at least 1 hour before class, the class is ON.​​

Late Pickup Policy

All students must be picked up promptly at the end of class. We offer a 5-minute grace period after the scheduled end time. After that, a late pickup fee of $1 per minute will be charged.

  • For example, if class ends at 4:30 PM, pickup after 4:35 PM will incur charges.

  • The fee helps cover the cost of staff staying beyond scheduled hours to supervise students.

  • Repeated late pickups may result in removal from the program.

We understand that emergencies happen—please text us at 408-612-7420 if you are running late. Thank you for respecting our coaches' time and helping us keep programs running smoothly.​​​

Behavior Policy

Our goal is to create a safe, respectful, and fun environment for all students. To help us do that, we expect all participants to:

  • Listen to and follow coach instructions

  • Treat coaches and peers with respect

  • Keep hands, feet, and equipment to themselves

  • Use appropriate language at all times

  • Participate in activities with a positive attitude

We understand that kids are learning and growing, so we use a progressive approach to behavior management:

  1. First incident: Verbal reminder and redirection

  2. Second incident: Temporary removal from activity and discussion with coach

  3. Third incident: Parent will be contacted

  4. Ongoing issues or serious misconduct: Student may be removed from the program without refund

Examples of serious misconduct include (but are not limited to): hitting, bullying, swearing, intentional property damage, or repeatedly refusing to follow safety instructions.
